A social media tool is software that takes over one job in the work of running social accounts. Writing the post, putting it on a calendar, publishing it to several networks, answering the comments it gets, and proving it worked.

There are six categories, and almost every product on the market sits in one of them:

  1. Publishing and scheduling: queue posts for later across multiple networks
  2. Content creation: design the image, cut the video, draft the caption
  3. Engagement and inbox: comments and DMs from every account in one place
  4. Analytics and reporting: what performed, and the report you send on
  5. Listening and monitoring: mentions of your brand you were not tagged in
  6. Workflow: approvals, asset storage, roles, client sign-off

TLDR: Group tools by the job they own, not by brand name. Most teams need one creation tool and one platform that covers publishing, inbox, analytics and approvals. Adding a seventh product rarely fixes a problem the first six caused.

What is a social media tool?

It is any software that sits between you and the social networks and removes manual work. Without one you post from each app by hand, reply in each app by hand, and rebuild your numbers in a spreadsheet at the end of the month.

The word covers a wide range: a free design app is a social media tool, and so is a platform running approvals for 40 client accounts. That is why "which tool should I use" is the wrong first question. Which job is currently costing you the most time is the right one.

Free tools vs paid tools

Free plans are genuinely fine at the start. They usually give you one or two connected accounts, a basic queue, and whatever analytics the network exposes.

They stop working at three predictable moments: when a second person needs to approve a post, when you add a second brand or client, and when someone asks for a report with a logo on it. Those three features are what paid plans are actually selling. If none of them apply to you yet, stay free.

How many tools do you actually need?

  • Solo creator or freelancer: two. One to make the asset, one to publish it.
  • Small in-house team: three or four. Creation, publishing, analytics, and something holding the approvals.
  • Agency with clients: the same three or four, but the publishing tool has to carry client approvals and per-client workspaces, or the number climbs fast.

Past about five, extra tools mostly buy overlap. Two products that both schedule means nobody knows which calendar is real.

What to look for in a social media tool

Seven checks, in order of how often they get skipped:

  1. Does it support your actual networks, including the awkward one (Pinterest, Google Business Profile, Threads)?
  2. Does it publish directly, or send you a phone notification to post manually?
  3. Can a second person review before publish, without buying them a seat?
  4. Does it keep more than 90 days of analytics, and can it compare profiles?
  5. Does it handle more than one brand without a separate subscription each?
  6. Does the API break quietly? Ask what happens to a failed post: silent, or flagged?
  7. What does it cost when you double your accounts, not what does it cost today?

Test the two you shortlist on real posts for a fortnight. Feature pages agree with each other; the publishing behaviour does not.

Signs your stack has too many tools

  • Two products can both schedule a post, and the team argues about which calendar is correct
  • Approvals happen in a chat thread because the tool that owns them is too slow to open
  • You export from one tool to build a report in another
  • Someone is paying for a seat nobody has opened in a month

Each of those is a consolidation signal, not a reason to buy a seventh product. Write your stack out, one line per tool, with the single job it owns. Anything you cannot describe in one sentence is a cancellation candidate.

Pick the one job costing you the most hours this week and fix only that. Scheduling first if you post irregularly, inbox first if replies are slow, reporting first if you cannot answer "did it work".
