Almost every social team starts in a spreadsheet, and a spreadsheet is genuinely good at the planning part: fast, free, and shaped however you want. What it cannot do is publish, preview, or hold a client to a decision.

The useful comparison is what you give up. A tool will be less flexible than a sheet. It should buy back the copy-paste, the version confusion and the approval chase.

TLDR: Loomly or HeyOrca if you want a calendar with approvals cheaply. Mydrop if you want the calendar, the assets, the approvals and the publishing in one place. Airtable if you genuinely just want a better spreadsheet.

The 6 alternatives at a glance

Tool Best for Watch for
Mydrop Calendar, approvals and publishing together Less freeform than a sheet
Loomly Cheap structured calendar Thin analytics
HeyOrca Client-facing agency calendars Lighter reporting
Airtable Keeping spreadsheet flexibility Still does not publish
Notion Docs and calendar in one Same handoff problem
Planable The review experience No inbox or automation

Where the spreadsheet stops working

  • It cannot publish. Every row is retyped into a scheduler by a human, which is where the wrong caption meets the right image.
  • No preview. A sheet cannot show a client what the post will look like, so approval happens on text nobody visualises.
  • Assets live somewhere else. The link in column F points at a folder with four versions and no indication which one is final.
  • Concurrent editing. Two people, one cell, no history anyone reads. This is the failure that eventually forces the change.

1. Airtable: a better spreadsheet, honestly

If you like the grid and only want structure, views and attachments, Airtable is the upgrade that does not change your mental model.

Skip it if the pain is publishing, because Airtable does not publish either.

2. Loomly: the smallest real calendar

Structured content calendar, approval steps and publishing, at a price that is easy to justify against free.

Skip it if you need reporting a client will read.

3. HeyOrca: built for showing clients

Calendars clients can read without training, and free client seats, which is the exact spreadsheet-sharing problem solved properly.

Skip it if you need analytics depth.

Mydrop: the sheet replaced end to end

The reason to consolidate rather than move to another planning tool is that the spreadsheet was never the problem. The handoff after it was:

Assets, captions, approval state and the schedule are one object, and Google Drive connects so existing files stay where they are.

When the spreadsheet wins

One person, one brand, a dozen posts a month, nobody approving anything: keep the sheet. It is free and infinitely flexible, and a tool would add process you do not need. Move when a second person or a client touches it.

Migrating without rebuilding history

  1. Move the next 30 days only. Older rows are a record, not a workload.
  2. Keep the sheet read-only for a month so nobody loses their reference.
  3. Connect Drive rather than re-uploading assets.
  4. Rebuild your columns as fields deliberately: most sheets carry three columns nobody has used since March.

A spreadsheet is a plan. It was never a publishing system. Start free with Mydrop and move the next 30 days across in an afternoon.

FAQ

Quick answers

Not natively. Some teams wire up scripts or Zapier, but that adds a fragile layer with no preview and no approval state. A publishing tool with a calendar removes the need entirely.

Mydrop if you want planning, approvals and publishing in one place, Loomly or HeyOrca for a cheaper structured calendar, Airtable if you genuinely just want a better grid.

For structure, views and attachments, yes. For the underlying problem, no: Airtable still cannot publish a post or show a client a preview, so the copy-paste step survives.

Migrate the next 30 days only, keep the old sheet read-only for reference, connect your existing asset storage instead of re-uploading, and rebuild fields deliberately rather than copying every column.

Next step

Stop coordinating around the work

If your team spends more time chasing approvals, assets, and publish details than creating better posts, the problem is probably not your people. It is the workflow around them. Mydrop brings planning, review, scheduling, and performance into one calmer operating system.

Managing 14+ social platforms felt like a 2 a.m. nightmare until Mydrop. The AI brand-voice mapping is scary accurate, and the client approval portal saved me easily 15 hours this week alone. It's the ultimate set-and-forget workspace for busy agencies.
A true automation tool for scheduling (and creating) social media content! It has saved me over 20 hours of work already in just my first couple weeks. A true game-changer for anyone in business, big or small!
Finally tried Mydrop on a test client and the white-label portal on a custom domain actually looks legit, no Mydrop branding sneaking in. The OAuth setup saved me from the usual “what's my password” back-and-forth.
Absolute game-changer. Mydrop completely automated my content workflow. The scheduling is flawless, it actually feels intuitive, and it saved me 10+ hours in my very first week. Best decision I've made for my socials!
